RefWorks
To begin, go to the RefWorks logon page located on the USF Libraries web site (http://www.lib.usf.edu) under “research help.”
Importing References from other databases, general instructions:
- With RefWorks open in one window, open the database that you will be searching in a second window. Conduct your search in the database as you normally would.
- “Mark” the citations that you would like to send to RefWorks by entering a check in the box next to the citation.
- Look for the button on the database that says any of the following (exact terminology depends on the database in use): save, export, …
- On the save/export screen, make sure that “save marked records” and “full citation” or “all citation fields” options are selected.
- If a RefWorks link is available, click on it. If you do not see a direct link to RefWorks, click on “tagged” or “Format for exporting to Bibliographic Software.”
- If prompted to save an exported file, save it as a .txt file to your desktop or to a temp file where it can be located easily later.
- Go back to the RefWorks window.
- On the toolbar near the top of the RefWorks screen, select “References” then “Import.”
- Choose the appropriate database vendor from the “Import Filter/Data Source” pull-down menu.

- Select the specific database in use under the “Database” pull-down menu.
- Check off the selection that says: “Import Data from the following Text File.” Click on the “Browse” button near the center, right-hand side of the screen and locate the text file you created above (on your desktop or in your temp file).
- Open the .txt file so the computer path appears in the box to the left of the “Browse” button
- Click on the “Import” button near the bottom of the screen.
- Wait briefly for a new RefWorks screen to appear. You should see the message:
“Import completed - … references imported.
- Once the citations have been successfully imported, click on the “View Last Imported Folder” to
check the citations. Keep in mind that RefWorks can only import what it sees in the database.
Always check your imported citations to be sure that all information has been
transferred correctly and completely.
- With the “Last Imported” citations on your screen, edit as needed, then assign the citations to an
appropriate folder.
To enter a citation manually:
- From the toolbar across the top of the screen, click on “References” then “Add New Reference.”
- Select the appropriate citation style from the pull-down menu near the top of the screen (“View required fields for”)
- Select the type of material (journal, book, book chapter, etc) from the “Ref type” pull-down menu.
- Enter the required information (required fields have a red * next to the field name)
- When entry is completed, click on “Save Reference” button located just below the toolbar.

During the import process, you may be asked to select an “Import Filter/Data Source.” See the list below for databases vendors that correspond to selected databases:

ERIC (Cambridge Scientific) has a direct link to Refworks
ERIC (FirstSearch) has a direct link to RefWorks on the “export” menu
InfoTrac OneFile email results, remove extraneous material and save as a
text file—in Refworks
use “Gale InfoTrac Web” as the import
filter and “Gale InfoTrac” as the database
JSTOR collections in JSTOR, when exporting citations choose “in a new window”
in “citation manager”
format, save the file, then in RefWorks
select JSTOR for both the import filter and the
database.
PsycINFO (Ebsco) bibliographic manager” tab exports directly to Refworks.
PsycINFO (Ovid) direct link to Refworks via the “Results Manager—direct
export—save” screens
ScienceDirect use “ScienceDirect (RIS Format) as the import filter, then
select “ScienceDirect Navigator” for the database
Sociological Abstracts (Cambridge) has a direct link to RefWorks
USF Libraries book catalog use the “Ex Libris ALEPH” import filter and choose “University
of Florida (Full)” as the database
Web of Science ISI (Institute for Scientific Information) then select “Web of
Science” as the database (includes Social Sciences Citation
Index,
Arts & Humanities Citation Index,and Science Citation
Index)
WorldCat (FirstSearch) has a direct link to RefWorks on the “export” menu
*If you don’t see your favorite database listed here and you have questions about the exporting process, please contact a reference librarian at 553-4124.
Creating a bibliography:
- On the RefWorks toolbar near the top of the screen, select “Bibliography.”
- Select desired citation output style from the pull-down menu.
- Select “Format a Bibliography from a List of References”
- Choose desired file type (html, Microsoft Word, etc) from the pull-down menu.
- Choose “all references” or references from a selected folder.
- Click on the “Create Bibliography.” button.
- Don’t forget to save your file.
Creating citations within the text:
To use RefWorks to create your citations within the text of your paper, you will need to download the “Write-N-Cite” software to your computer. The software download can be obtained by going to the RefWorks toolbar and selecting “Tools” then “Write-N-Cite.” For steps on how to use Write-N-Cite refer to the RefWorks toolbar and select “Help” then “Tutorial.”
